Money in Mind Accounts System

Under our Money in Mind project, we developed two accounts systems designed specifically for community and voluntary groups. You will need access to Microsoft Excel to use them.

Using one of our systems is the next best thing to having your own personal advisor set up an accounts system that is tailor-made for your group. There are three simple steps:

  • Download the accounts system and instructions to your computer
  • Enter your own headings and balances on the set-up sheets
  • Press the Generate button, to create your personalised spreadsheet

There are detailed instructions for each step included in the accounts system, so help is always on hand at the click of a button. The system also features instruction pages to help you use the system to keep accounts, produce reports for your group and do bank and cash reconciliation.

We will be adding to and updating these systems in response to feedback from groups. If you have any suggestions or comments, please contact us.

Annual accounts system with grant tracking

This system enables groups to keep track of grants or projects, and has separate sheets for bank income, bank expenditure, cash income, cash expenditure and transfers between cash tin and bank.  Click on the link above for more information, or if you’ve read all about it already, here’s a quick link to the Annual accounts system download page.

Simple cash and bank spreadsheet

This is a much simpler system, with a single sheet for cash income/expenditure and a single sheet for bank income/expenditure. It gives up to date balances and enables you to produce a finance report at the touch of a button. This system has no grant tracking.  Click on the link above for more information, or if you’ve read all about it already, here’s a quick link to the Simple accounts system download page.

A bespoke account system for your group

If neither of the downloadable systems is quite what you need, we may be able to design something specifically for your group.  Groups based in areas of social housing, BME community groups or groups run by disabled people in Brighton & Hove can get free one-to-one support with managing money.  This can include setting up an accounts system to meet your needs.  Just contact us to discuss what you need.

We hope you have found this page useful. Would you like to make a donation?

All Resource Centre information is available for free because we know small community groups have small budgets. However, we are a small charity, so if you are in a position to make a donation, it will help us to keep running this service into the future.
